Original invitation letter explaining the purpose of activities in Japan

Letter of Guarantee
A certified copy of incorporation register or an overview of the company/organization

Cover Letter
Employer-sponsored: Cover letter from the employer
Self-employed: Cover letter from the applicant
GST Copy (For Self-Employed Applicants)
Business proof, such as a certified copy of company incorporation
Stock exchange-listed companies are exempt if they submit a quarterly corporate report
Flight Ticket
Confirmed return flight itinerary
Other Documents
Proof of relationship (if traveling with a dependent), such as:
Passport copy
Marriage certificate
Birth certificate
No Objection Certificate (NOC)

Day-to-Day Itinerary
A detailed daily itinerary in the official format provided by the embassy
Bank Statement
Personal/Savings account statement for the last 6 months, attested by the bank
Important Information for Indian Passport Holders Traveling to Japan
A valid sticker visa is required for all Indian passport holders to enter Japan.
Travelers must be fully vaccinated with Covishield or any EMA-approved vaccine (Pfizer, Moderna, AstraZeneca, or Covishield) to visit Japan.
All mandatory documents listed in the document requirement section must be submitted.
The embassy or visa experts may request additional documents during the processing of your visa application. Your cooperation is essential for a successful outcome.
The embassy reserves the right to request further documents at any stage of the application process.
Processing times are indicative, and visa fees may be subject to change.
1. Can I pay the visa issuance fee with a credit card or cheque?
No, under Japanese law, visa fees must be paid in cash using the local currency. Credit cards and cheques are not accepted.
2. Do I need a visa to travel to Japan?
Yes, Indian passport holders require a pre-approved valid visa before traveling to Japan.
3. Are vaccinations required before traveling to Japan?
Yes, vaccinations are mandatory for foreign travelers entering Japan.
4. How long does the visa application process take?
If there are no issues with your application, processing takes approximately five working days from the day after submission. However, during peak seasons or if additional documentation is required, processing may take longer.
5. How long is my visa valid if I postpone my trip?
A single-entry visa is valid for three months from the date of issuance. If you do not travel within this period, you will need to apply for a new visa.
6. Do I need to visit the Japanese Embassy/Consulate in person to apply for a visa?
You can apply for a visa in three ways:
Apply in person at the Japanese Embassy/Consulate.
Authorize a representative by providing a Letter of Proxy.
Apply through an accredited travel agency approved by the Embassy/Consulate.
However, in some cases, only the applicant or an accredited travel agent may be allowed to submit documents.
7. My departure date is near. Can my visa be processed faster?
Visa applications are processed in the order they are received, and no decision can be made until the required examination is complete. It is recommended to apply as early as possible once your travel plans are confirmed.
8. Why was my visa application rejected?
If your visa application was rejected, it means it did not meet the issuance criteria. The Embassy does not disclose specific reasons for rejection.
9. What items can I bring through customs?
You may bring personal-use items within the duty-free limits specified by Japanese customs regulations.
10. When is the peak travel season in Japan?
Japan experiences extreme fluctuations between peak and off-peak seasons. Prices for flights and accommodation rise significantly during peak seasons, and availability is limited. If possible, plan your travel during off-peak periods to avoid high costs and overcrowding.
11. Can I reapply immediately after a visa rejection?
No, if your visa application is rejected, you cannot reapply for the same purpose within six months unless there is a significant change in your circumstances.
12. Why was I asked to submit additional documents?
The Embassy may require additional documents during the examination process. Since every applicant’s situation is different, some requirements may only become clear after the application is reviewed. If you fail to provide the requested documents, your application cannot be processed further.
13. Why was I denied entry to Japan despite having a valid visa?
A visa does not guarantee entry into Japan. Immigration officers at the port of entry make the final decision. You may be denied entry if:
Your identity does not match the visa details.
You are unable to explain your travel plans and activities clearly.
Always ensure you have proper documentation and a clear purpose of visit when entering Japan.
