Passport
Must be original and issued within the last 10 years.
Valid for at least 6 months beyond the last intended date of departure from Belgium.
Must contain a minimum of 2 blank visa pages.
No alterations or handwritten amendments on the data pages.
Photograph
Three recent colored passport-size photos (35 mm x 45 mm, borderless).
Taken within the last 3 months.
Facial image should be between 25 mm and 35 mm from chin to crown.
Must be taken against a plain white background with a matt or semi-matt finish.
Scanned or unclear photographs will not be accepted.
Accommodation Proof
The applicant must provide one of the following:
Confirmed hotel voucher.
Cruise confirmation voucher.
If staying with a friend or relative, an invitation letter along with:Invitee’s ID proof, passport, or residence card copy.
Their financial documents (scanned colored copies via email are acceptable).
Flight Ticket
Confirmed flight reservation (India to Belgium and return).
Itinerary
A day-wise travel itinerary on plain A4-size paper or, if booked via a travel agent, on their letterhead.
Travel Insurance
Mandatory with a minimum coverage of 30,000 Euros or 50,000 USD per person.
Must cover:Medical repatriation.
Urgent medical attention.
Emergency hospital treatment.
Insurance must be valid for the entire Schengen stay.
Applicants requesting a 6-month or 1-year multiple-entry visa only need coverage for the first journey.
Proof of Sufficient Funds
Last 6 months’ bank statement, signed and attested by a bank official:If employed, the applicant’s bank statement is required.
If sponsored, the sponsor’s bank statement is required.
All bank statements must be dated within the last 1 week.
Income Tax Returns (ITR)
ITR assessment for the last 3 years:If employed, the applicant’s ITR is needed.
If sponsored, the sponsor’s ITR must be provided.
Cover Letter
For employed applicants: A cover letter on plain A4 paper.
For self-employed applicants: A cover letter on business letterhead.
Employment Letter
Official letter from employer, printed on company letterhead, stamped and dated.
Must include:Company contact details (address, email, phone number).
Name, position, and signature of the issuing officer.
Applicant’s position, salary, employment duration, and approved leave.
No Objection Certificate (NOC)
For students/minors: NOC from the school/institute, along with a copy of the student ID card.
GST Registration Copy
Required if the applicant is self-employed.
Leave Letter
A leave approval letter from the employer, along with a copy of the employment ID card (if employed).
Biometric Data Requirement
First-time Schengen visa applicants must appear in person for biometric data submission.
Children under 12 years are exempted from biometric submission.
Previously submitted biometric data (after November 2, 2015) is valid for 59 months for any Schengen visa.
In special cases, a Schengen member country may request a re-submission of biometric data if required.

Can I submit an e-statement for my visa application?
No, a bank statement covering the last six months is required. It must be stamped and signed on every page by the bank and printed on A4-size paper.
Do I need confirmed flight and accommodation bookings for my Schengen visa application?
No, confirmed tickets and bookings are not mandatory before obtaining your visa. Shiva YSR, India’s first E-Visa agency, can assist you with temporary hold bookings to meet the visa requirements.
How long is biometrics valid for Schengen visas?
As per Schengen regulations, biometrics is valid for 59 months across all Schengen countries. If you have previously completed biometrics, check for the VIS (Visa Information System) remark on your issued visa. However, some countries may require biometrics each time you apply, or in case of errors in the previous records. It is advisable to consult our E-Visa Application team before applying.
How early can I apply for a Schengen visa?
You can apply for a Schengen visa up to 3 months before your planned travel date. Applications submitted earlier than this will not be accepted.
I only have ITR (Income Tax Returns) for the last two years. Can I still apply for a Schengen visa?
While ITR for the last three years is preferred, you may still apply with two years' ITR, subject to embassy discretion.
Can I travel to Belgium with my old and new passports if my Schengen visa is on the old one?
If you hold a valid Schengen visa on your old passport, you must email the Belgium Embassy for guidance. If approved, you can travel with both passports until the visa on the old passport expires.
Is biometrics a one-time process?
Biometrics is generally valid for 59 months across all Schengen countries. If your biometrics were recorded after November 2, 2015, you do not need to repeat it for subsequent applications unless:
The country you’re applying to requires fresh biometrics each time.
There is an issue with the biometrics recorded in the Visa Information System (VIS).

Do I need to be vaccinated to apply for a Belgium visa online?
Yes, Indian travelers must be fully vaccinated with both doses of Covishield or any EMA-approved vaccine to travel to Belgium.
Is personal appearance required for visa submission?
Yes, since November 2, 2015, all Schengen visa applicants must submit biometrics in person at the Visa Facilitation Center (VFS) or, in some cases, directly at the Consulate/Embassy. The biometrics process includes fingerprinting, palm printing, and a live photo.
Is travel insurance mandatory for a Schengen visa?
Yes, travel insurance is compulsory for all 26 Schengen countries. You can apply for travel insurance online.
